Printing Requests: Submitting Printer Intake Form
How to submit, manage, and amend customer printing requests via Slack?
Process overview: How printing requests are handled
StoryTerrace receives regular customer requests for custom or non-standard printing. These requests require bespoke quotes from external printers and must follow a centralised process to ensure accuracy, consistency, and timely delivery.
All printing requests are handled through the Slack Printer Intake Form channel.
1. Submit the Printer Intake Form in Slack
All printing requests must be submitted via the Printer Intake Form in the Slack channel:
-
Channel name: #printer-intake-form
-
Do not send messages in the channel
-
Requests must be submitted via the form only
Incomplete forms will delay quotes. Please confirm all details with the client before submitting.
You must answer all questions, including:
- Email address
- HS Deal ID
- Delivery country and full address
- Required delivery date
- Total number of pages
- Number of copies required
- Type of book
- Colour or B&W printing
- Number of colour pages
- Binding type
- Finishing touches (if any)
- Cover type
- Any additional comments or special requirements
Once the form is submitted:
- EdOps reviews the request
- EdOps contacts the appropriate printer
- The printer prepares a quote based on the provided details
- Allow up to one week for edops to return your quote.
- The printer quote is attached by EdOps to the same Slack request
- All communication about that request must remain within the same Slack thread
You may review the quote and share it with the customer.
5. Request changes (if needed)
If changes are required:
- Review the quote
- Discuss internally and/or with the customer or manager
- Reply in the same Slack thread with the requested tweaks
Do not send changes via:
- Slack DMs
- New Slack messages
EdOps will:
- Review the requested changes
- Request revisions from the printer
- Share updated quotes in the same thread until final approval within one week
Once approved:
- You are free to share the final quote with the customer
- Proceed according to standard approval and payment workflows
If, after sharing the quote, there are:
- Additional customer questions
- Clarifications needed
- Further changes that require the printer to amend the quote
You must:
- Respond in the same Slack thread as the original request
- Clearly outline the required amendments or questions
EdOps will:
- Review the follow-up request
- Contact the printer if amendments are required
- Share any revised quotes in the same Slack thread
Do not start a new request.
Do not send follow-ups via email or Slack chat.
Q&A
Where should all communication about printing requests happen?
All communication must take place in:
- The #printer-intake-form Slack channel (via the form only)
- The Slack thread of the same request
This ensures:
- One source of truth
- Accurate pricing
- Faster turnaround
- Clear accountability
Why am I seeing more printing-related requests from customers?
We regularly receive requests for non-standard printing, including:
- Larger print runs (multiple copies)
- Custom page counts
- Out-of-norm formats (larger than A5, square books, etc.)
- Cloth-bound or special bindings
- Mixed colour and B&W interiors
- Special finishing touches
- Alternative cover or binding options
These requests require custom printer quotes and cannot be handled through standard production workflows.
Why should I not email EdOps about printing requests?
Emailing EdOps about printing requests leads to:
- Quote inconsistencies
- Missing or unclear requirements
- Version control issues
- Delays in printer responses
For this reason, printing requests sent via email will not be actioned.
